Job Description: Event and Volunteer Coordinator

Wage: $20/hour ($41,600 Annual)

Location: Helena, MT

Position Summary

The Event and Volunteer Coordinator at Good Samaritan Ministries is responsible for leading the planning, coordination, and execution of fundraising and promotional events, overseeing volunteer recruitment, training, and engagement across all programs, and supporting program leaders in their communication and promotional efforts. This role ensures successful event outcomes, fosters strong volunteer relationships, and provides limited support for grant-related activities to advance the organization’s mission of community service and support.

Duties and Responsibilities

Events-Related

• Lead the coordination of special events, including fundraising and promotional activities, such as the Annual FriendRaiser (September 13) for school supplies and community resources with snacks, lunch, in-store donations of books, backpacks, monetary contributions, supplies, and gift cards.

• Oversee sponsor appointments and partnerships to promote Good Samaritan Ministries.

• Prepare, negotiate, and modify event contracts as required.

• Manage inventory of all event materials, ensuring timely ordering and availability.

• Develop and monitor event budgets in collaboration with the Executive Director to ensure fiscal adherence.

• Organize and schedule community outreach presentations, assigning staff coverage and responsibilities.

• Direct promotional timelines and execution with relevant staff.

• Plan and execute established fundraising events including:

• Unsheltered Experience event (November 2) to raise funds for General Assistance Fund Operations, incorporating silent auctions, raffles, and vendor support.

• Lead the Adopt A Family program (December 23) for Christmas and holiday assistance, engaging new donors and recipients with gift cards, presents, car repairs, and related support.

• Coordinate the St. Francis Dinner (March 15) as an annual meal in partnership with KOC and AOH, tributing St. Joseph the Carpenter and raising funds for store capital improvements.

• Direct the May 5 Celebration (May 5) as the first annual spring rejuvenation event, fundraising for Our Place, Assistance Ministry, and Street Outreach operations through meals, silent auction, and entertainment.

Volunteer-Related

• Recruit and onboard event volunteers to support successful execution of all fundraising and promotional events.

• Collaborate with and support volunteers across all Good Samaritan Ministries programs, including Our Place Peer Support and Drop-in Center, Street Outreach Services, Assistance Ministry, and the Good Samaritan Thrift Store.

• Oversee relevant training programs to equip volunteers with necessary skills and knowledge for their roles.

• Maintain strong, ongoing relationships with volunteers to foster engagement and retention.

• Coordinate volunteer schedules and responsibilities to ensure seamless program and event support.

Grant-Related

• Research grant opportunities from government and non-government agencies to support organizational needs.

• Draft and submit grant proposals and supporting documents based on funding requirements.

• Maintain records and submit reports related to grant opportunities.

Marketing-Related

• Support Good Samaritan program leaders in their efforts to communicate and promote programs, including Our Place Peer Support and Drop-in Center, Street Outreach Services, Assistance Ministry, and the Good Samaritan Thrift Store.

• Assist in preparing and editing program-specific publications for internal and external audiences.

• Attend relevant community meetings to support program leaders’ outreach efforts as needed.

• Assist in responding to media requests for information or coordinating with designated spokespersons for program-specific promotions.

• Help develop program-specific outreach materials, packets, and brochures as directed by program leaders.

• Support program leaders in maintaining relationships with community partners relevant to their promotional activities.

• Contribute to program-specific public relations strategies by providing logistical and communication support to promote programs and services.

Qualifications

• Bachelor’s degree in event management, nonprofit management, communications, or a related field (or equivalent experience).

• Experience in event planning, volunteer coordination, or community outreach.

• Strong organizational and leadership skills with the ability to manage multiple projects and deadlines.

• Excellent communication and interpersonal skills to engage with volunteers, sponsors, and community stakeholders.

• Familiarity with grant writing and fundraising strategies is a plus.

• Must demonstrate respect for, and familiarity with, the Catholic Church and its teachings, with the ability to work collaboratively and effectively with Catholic parishioners, priests, deacons, and personnel of the Diocese of Helena.

• Passion for Good Samaritan Ministries’ mission and values.

Work Environment

• This position may require evening and weekend work, particularly during event seasons.

• Ability to work in a fast-paced environment and collaborate with diverse teams.
